How to refresh training for operatives
It’s normal that every 3 years, your operatives will need to refresh their food safety and GMP training in accordance with food safety guidelines. This may be setup at a different frequency for your business if you have selected this. If you are unsure, please get in touch for advice so we can check for you.
You’ll see when logging into your training dashboard, that operatives who are due to refresh their training will have a due date shown next to the course they have completed. If the due date is overdue, the date will be displayed in red. If the training is not due to be retaken yet, the date will be shown in green. In the examples below which have a retraining frequency of 3 years, you can see the packaging course is not due until 21st May 2027, so the date is green. The raw produce course is overdue, so the date it was due is shown in red.
Before you begin, make sure you download a copy of the learner training certificate as it will no longer be available after you reset the training. Existing certificates can be downloaded by clicking the small download icon beneath the pass date.
When you’re ready to refresh the food safety and GMP training, find the learner profile and click edit next to their name to open the edit window. When this window opens, scroll to the bottom of the profile window to see the courses assigned to them.
To reset the course assigned to the learner, click the action ‘edit’ button shown next to the course you want to reset, to open a new window to update the course for the user. Click the immediate retest box then save and close.
Once you close and return to the dashboard to view the learner, their course will have reset so they can login and begin again. You must then advise the learner to login and retake their training – the system will not notify them as their profile is not linked to an email address.
Tip: If a non-conformance identifies a training need for a learner, you can use this function to ask them to retake their training. A dashboard training credit will be deducted from your balance when the learner clicks ‘start course’ to retake their training.
